About this opportunity

Original employer description

COMPANY OVERVIEW

We exist to make food the world loves. But we do more than that. Our company is a place that prioritizes being a force for good, a place to expand learning, explore new perspectives and reimagine new possibilities, every day. We look for people who want to bring their best — bold thinkers with big hearts who challenge one another and grow together. Because becoming the undisputed leader in food means surrounding ourselves with people who are hungry for what’s next.

OVERVIEW

Function Overview

The CLM COE or Contract Operations team manages contract administration and lifecycle support across business functions, including intake, e-signature coordination, repository completion, issue resolution, metadata quality, and confidentiality controls. The team enables timely and compliant contract processing while supporting the transition to Evisort and standardized digital workflows. The shift timing for the role is 3:30 PM – 12:30 AM IST.

Purpose of the role

The CLM Contract Coordinator will provide day-to-day operational support across the contract lifecycle, from intake and e-signature coordination through repository completion and access control.

The role will help ensure that contracts are processed accurately, securely, and within agreed service levels. It will support contracts from Sourcing, IT, Marketing, Sales, Customer, and other business functions, but will not own sourcing decisions, legal approvals, contract negotiation, or the broader Evisort roadmap.

The role is intended to provide the permanent capability currently being covered through a temporary internal arrangement.

KEY ACCOUNTABILITIES

1. Intake and submission quality

Monitor contract requests received through shared mailboxes, Evisort and other approved intake channels.
Review submissions for completeness and identify missing information, incorrect templates, missing vendor details, incomplete documents or unclear signing requirements.
Confirm the relevant business function, contract type, entity, region, confidentiality requirements and required signers.
Validate that the request is ready for signature processing and identify items that must be returned to the requestor for correction.
Maintain accurate request status, activity notes and supporting documentation in the approved workflow.

2. DocuSign and signature administration

Prepare and configure DocuSign envelopes using approved templates and procedures.
Enter and validate signers, witnesses, copy recipients, signing order and required fields.
Route contracts to the correct individuals and monitor envelopes from initiation through completion.
Track the standard 28-day envelope validity period and initiate extensions in accordance with the approved process when signatures remain outstanding.
Manage reminders, resends, recalls and re-issuance for failed, expired, amended or incorrectly routed envelopes.
Identify partially signed, aged or incorrectly routed contracts and coordinate corrective action.
Investigate delivery failures, technical issues and signer-access problems; escalate matters requiring Legal, policy, approval or technical decisions.
Provide timely status updates to requestors and stakeholders and maintain an accurate signature-tracking record.

3. Executed-contract upload and repository quality

Upload signed and fully executed contracts and required supporting documents to the approved CLM repository or Evisort workflow.
Validate that the final signed version is complete, readable, correctly named and associated with the right request and contract owner.
Apply approved naming, folder, entity, region, contract type, confidentiality and access-control requirements.
Validate metadata, taxonomy, document relationships and repository completeness.
Perform quality checks on Evisort-generated data and escalate inaccurate, incomplete or uncertain extraction results.
Confirm that the executed contract is searchable, linked to the relevant workflow and available to authorized users.
Monitor open, in-progress, pending and completed workflow items, including queue aging, exceptions and backlog.

4. User support and operational improvement

Respond to routine user questions regarding intake, workflow status, eSignature, repository upload and access.
Support backlog reduction and maintain accurate status records across approved intake and workflow channels.
Support special-country, business and confidentiality scenarios, including Brazil, Latin America, General Mills International and designated-signatory requirements, by following approved procedures and escalation paths.
Contribute to standard operating procedures, knowledge articles, templates, training materials and continuous-improvement activities.
Support UAT, job-aid development, office hours and adoption activities as the CLM model matures.

MINIMUM QUALIFICATIONS

1–3 years of experience in contract administration, legal operations, procurement operations, shared services, customer operations, or a similar process-support environment.
Bachelor’s Degree in Business, Legal Operations, Supply Chain, Finance, or a related field, or equivalent experience.
Strong written and spoken English communication skills.

Specific Job Experience or Skills Needed

Experience with DocuSign or another e-signature platform is preferred.
Experience with a contract lifecycle management, repository, workflow, ticketing, or case-management system is preferred.
Proficiency in Microsoft Office, especially Outlook and Excel.
Strong attention to detail and ability to manage multiple requests against service-level expectations.
Ability to handle confidential contract, supplier, customer, employee, and business information.
Willingness to work the required Mumbai support hours.

Competencies/Behaviors required for the job

Communication

Ability to communicate clearly and professionally with requestors, signers, Legal, business stakeholders, and support teams.
Ability to collaborate effectively across functions and geographies.

Problem Solving / Analytical skills

Ability to identify incomplete or inconsistent information and obtain clarification before processing.
Ability to investigate routine issues, identify root causes, and escalate legal, policy, approval, or technical matters appropriately.
Ability to adapt quickly to process, system, and workflow changes during the Evisort transition.

Functional Skills

Collaborative and service-oriented approach.
Strong ownership of follow-up, closure, and accurate record keeping.
Ability to prioritize work, manage time effectively, and meet agreed service levels.
Ability to work independently while maintaining appropriate escalation and communication.
Personal accountability for accuracy, confidentiality, and delivery.
Willingness to provide cross-trained backup coverage and support continuous improvement.

PREFERRED QUALIFICATIONS

Preferred experience in Legal Operations, Contract Administration, CLM, procurement operations, or a GIC/shared-services environment.
Exposure to Evisort, ServiceNow, SharePoint, repository administration, or other workflow platforms.
Experience supporting global stakeholders across multiple regions or time zones.

ELIGIBILITY

Applicants must meet minimum age qualifications in the country in which the job is located.
